2. Data We Collect and Process

BygAgent is a business-to-business (B2B) service. We process personal and business data related to our users (craftsmen, contractors, and their teams) and their clients.

A. User Account Information

When you sign up, create an account, or accept an invitation to join BygAgent, we collect:

• Personal Details: Your name, email address, phone number, and secure password (stored encrypted).
• Business Details: Company name, CVR-number (Danish VAT number), and business phone number.
• Authentication Data: If you sign up using Google OAuth, we receive your Google identifier, name, and email address to verify your identity.

B. Voice and Transcript Data

The core feature of BygAgent is generating quotes using voice. When using this feature:

• Audio Recordings: We temporarily process audio files containing your spoken descriptions of quotes, materials, quantities, and customer details.
• Transcripts: Audio is transcribed to text. The resulting raw transcript is stored and associated with the generated offer.
• Conversation History: To maintain context in the voice assistant chat interface, we log assistant message logs and tool interactions.

C. Client and Offer Data

To compile and send professional offers, we store:

• Customer Information: Customer name, email address, phone number, and physical address (street, postal code, city).
• Quote Details: Materials, pricing (unit prices in Danish Øre / cents), quantities, and generated descriptions.

D. Legal Verification Data

When a customer receives a quote and takes action (accepts or rejects the proposal):

• We record their IP address, browser user-agent, and a timestamp of the action. This is stored securely as critical contract evidence to protect you and your client in case of disputes.

3. How We Use the Data

We use your data under the following legal bases:

• Performance of Contract: To operate the voice assistant, manage accounts, parse audio transcripts, generate PDF quotes, and deliver proposals to clients via email/SMS.
• Legal Obligation & Legitimate Interest: Storing confirmation IP addresses and timestamps to verify quote acceptance and prevent fraudulent activity.

To deliver our services, we share data with trusted third-party providers. We ensure they adhere to strict security and confidentiality requirements:

• Data Residency: Our main application databases are hosted securely within the European Union (EU).
• Retention Period: We store account and client details for as long as your BygAgent subscription is active. Spoken audio recordings are processed on-the-fly and not permanently retained on our servers. Transcripts and history are kept to allow editing and revision of offers.

Since we operate within the EU, you and your clients have the right to:

• Request access to your stored personal data.
• Request rectification of incorrect data.
• Request erasure (the "right to be forgotten") of your data, subject to legal bookkeeping obligations.
